This policy explains what information Convoke collects, why we collect it, who we share it with, and what control you have over it. We have tried to write it plainly and to describe what the software actually does, including the parts people are most likely to find surprising.
Convoke (“Convoke”, “we”, “us”) is an asynchronous tabletop role-playing platform operated by Formation Interactive, LLC, a limited liability company registered in Delaware, United States, with a registered address at 8 The Green, STE B, Dover, DE 19901, USA. We are responsible for the personal information described in this policy.

We use personal information to:
Profile discoverability is on by default. Your profile may appear in the player directory to other signed-in users unless you turn discoverability off in your settings.
We do not sell your personal information. We share it with the service providers below, who process it on our behalf:
We may also disclose information where required by law, to enforce our Terms of Service, or to protect the rights and safety of our users — and to a successor entity in the event of a merger, acquisition, or sale of assets.
Convoke includes AI features powered by OpenAI. We want to be specific about this, because content you write can be transmitted to OpenAI as a result of someone else’s action.
When a campaign chronicle is generated, the chat transcript is sent to OpenAI. The transcript includes the verbatim message content, speaker name, and timestamp of every eligible message in that campaign or scene — including messages written by other players, not only by the person who triggered the summary.
This can happen automatically. If a Game Master enables AI summaries for a campaign with a daily or weekly frequency, a scheduled job generates chronicles on a recurring basis without any further action by anyone. Your writing may therefore be sent to OpenAI because your Game Master enabled a campaign setting.
What is excluded: whispers, private messages, deleted messages, system messages, and empty messages are filtered out before the transcript is sent.
Your control: Convoke does not currently offer a per-player opt-out for this feature. The Game Master’s campaign setting is the control. If you are not comfortable with your messages being processed this way, ask your Game Master whether AI summaries are enabled before participating, or contact us at support@convokerpg.com.
OpenAI processes this content in order to return a result to us. Their handling is governed by their own terms and privacy policy and by the data-processing terms applicable to our account. We do not use your content to train our own models.
We use no analytics or advertising cookies of any kind. What we do use:
We keep your account information for as long as your account exists. Content you create is retained while the campaign or account it belongs to exists — see section 9 for what happens on deletion.
Where no fixed period is stated above, we keep information for as long as it is needed for the purpose it was collected for, and then delete it or retain it only as required by law. You can ask us to delete information sooner at any time.
You can delete your account at any time from your account settings. We think you should know precisely what that does, because it does not erase everything you wrote:
Removed: your profile, your characters, your login sessions, your push subscriptions, your notifications, your friend connections, and your personal settings.
Kept, in anonymised form: your chat messages and direct messages remain so that conversations other people took part in stay readable. They are detached from your account and reattributed to a generic “Deleted User”, so they are no longer linked to your name or email — but the text you wrote remains.
Transferred: campaigns you created, any content you listed publicly on the Exchange, and media you uploaded (avatars, portraits, maps) are transferred to an administrator account so that campaigns you ran remain playable for the other participants. Transferred campaigns are marked as such.
Retained: payment and booking records, purchase history, our log of emails sent to you, and error and usage records are kept for legal, accounting, and security purposes. Information already transmitted to a payment processor is held under that processor’s own retention rules and is not deleted by us.
If you want your retained content handled differently, contact support@convokerpg.com and we will do what we reasonably can, subject to the rights of other users whose conversations include your messages.

If you are a California resident, the California Consumer Privacy Act (as amended by the CPRA) gives you specific rights. In the preceding 12 months we have collected the following categories of personal information: identifiers (username, email address, account identifiers, IP address in server logs); internet or network activity (session and presence data, push delivery records); geolocation data only in the coarse sense of a region and time zone you choose to enter; audio, electronic, or visual information (images and audio you upload); and inferences and preferences (play style, availability, interests). We collect these for the purposes in section 4 and share them only with the service providers in section 5.
We do not sell personal information and we do not share it for cross-context behavioural advertising, and we have not done so in the preceding 12 months. We do not knowingly sell or share the personal information of anyone under 16.

To exercise any of these rights, email support@convokerpg.com. We will verify your request against your account before acting on it, and you may use an authorised agent. We respond within 45 days, extendable once where permitted.
Several other states provide comparable rights of access, correction, deletion, and portability. We apply the process above to all such requests regardless of where you live.
If you are in the EEA or UK, you have rights of access, rectification, erasure, restriction, portability, and objection, and the right to complain to your local data protection authority. Our legal bases are: performance of our contract with you (operating your account and the service), our legitimate interests (security, abuse prevention, and improving the platform), your consent where we ask for it (such as push notifications), and compliance with legal obligations.
We are based in the United States and our production database is hosted in Ireland. Your information may be processed in either location, and by our service providers in other countries. Where information is transferred out of the EEA or UK, we rely on appropriate safeguards such as the European Commission’s standard contractual clauses.
We protect your account with hashed passwords, encrypted connections, per-device sessions you can revoke, and automatic lockout after repeated failed logins. No system is perfectly secure, but if we become aware of a breach affecting your personal information we will notify you and any regulator as required by law.
Please note: images you upload — including avatars, character portraits, and maps — are served from public URLs. Anyone with the link can view them without signing in. Do not upload images you need to keep private.
Convoke is not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child under 13 has created an account, contact support@convokerpg.com and we will delete it. Some campaigns contain mature themes set by their Game Masters.
We may update this policy as Convoke changes. We will revise the “last updated” date above, and for material changes — particularly any change to what we share with third parties — we will give notice in the app or by email before the change takes effect.
